Wedding Countdown & Planning Timeline

Most wedding planners recommend 12–18 months of lead time for popular venues that book quickly, especially Saturday dates in spring and fall. If you're flexible on date, day of week, and venue style (non-traditional spaces, Fridays, Sundays, off-season), 6–9 months is achievable. The biggest constraint is always venue and photographer availability.

Book your venue and date first — everything else follows from those two decisions. The venue determines your guest capacity, your catering options, and sometimes your decor style. Once the venue is locked, book your photographer and videographer second (they fill up fast for popular dates), then your caterer, band or DJ, and florist.

Send wedding invitations 6–8 weeks before the wedding date for local guests, and 8–10 weeks for guests who need to travel. Send save-the-dates 6–8 months in advance (or earlier for destination weddings or holiday weekends). Include an RSVP deadline 3–4 weeks before the wedding so you have time to finalize the seating chart and catering headcount.

Create your wedding registry 9–12 months before the wedding — before you send save-the-dates. Guests will look for your registry as soon as they receive their save-the-date, and you want it populated with enough options at different price points. Include both affordable items ($30–$75) and larger items that groups can chip in on.

A wedding day-of timeline is a minute-by-minute schedule for the entire wedding day — covering when the bridal party starts getting ready, ceremony start time, cocktail hour, dinner, first dance, toasts, cake cutting, and departure. Most photographers and planners help build this. A realistic day-of timeline accounts for travel time, photographer setup, and 15–20 minute buffers at key transitions.
